Events

Note: if your event will happen more than once, do not create a single event for each occurrence as you can create a recurring event.

The management screen of your event is show below. This will show any events in the system and the date that they are set for.

Adding Events

Adding events in this version of Silverstripe and the One Suffolk software is now simpler than ever.

To add an event item to your website simply click on “Events” on the left hand side menu and you will be greeted by a list of all your current event items – if you have any.

To add a new one click “Add Event” and then you will be greeted by a screen like the one below.

Creating Content for your Event Item

Once you have the box up you can then start to create your content in your event item. Firstly though, you need to give it a title by typing in the title of your event item in the "Title" box.

Once you have done that you add your content into the big white "Content" section. This is the area where you add your text, images, links, file downloads etc into your event item. To add text then simply type it into the white box. To add images then use the Add Image button (the one that looks like a picture) on the toolbar. From here you get a few options along the top. You can choose to add an image "From Your Computer", "From The Web" or "From the CMS". If the image hasn't been uploaded yet then use "From Your Computer". If you want to do this click "Choose Files to Upload", pick the image from your computer you want to upload and place into your event item and double click on it and then when done click "Insert". You may also need to tweak the dimensions of the image (if it is a large image) before you press "Insert", if that is the case click the edit button and then amend the pixel size to suit your needs. It is recommended you get the right size before clicking Insert as it isn't that easy to work with images once they are on the page. If the image has already been uploaded and in the system then click "From the CMS" and then choose the image from the File system and click "Insert".

If you want to add a link to a file in your event item then you need to click the "link" button (this looks like a chain symbol). Firstly you will need to type in the text that you want the link to be (i.e. the name of the file), select the text so it is highlighted in blue and then click the "link" button. Once you have clicked this a box like the one below will appear.

From here click "Download a file" and then you will need to either upload the file by clicking on "From Your Computer" or if the file is already uploaded then click "From Files". If you need to upload the file at this point, click on "From Your Computer", find the file on your computer in the box that appears and then double click on it and click "Insert" when you have done. If you have already uploaded the file before then click "From Files" and search through the website files system, find the file in question, double click on it and click "Insert". You will now have a link to a file on your event item.

On this screen you will also need to enter in a location of the event. The "Find Address" function uses an address finder so to use it type a post code into the "event location" box and then click "Find Address". If you don't have a post code or want to add an address in manually click the "enter manually" button and fill in the relevant boxes.

Calendar Colour is the colour that is used to show on the large event calendar option that you have available to you (detailed later in this guide). You can set this to whatever you want if you so wish or you can ignore it if you don't use the large calendar.

Ensure you also give it a start date, end date and start time and end time and If you don’t intend to use images or tickets in your events then just click “Create” when you are done on this page.

Adding Images to the Event

You can also give your event a image by using the "Images" tab along the top. From this tab there are 2 main options - either a "Featured Image" or a "Event Image Gallery". Please note if you use the "Featured Image" it will be used on the Event Listing Page on your website. If you use the "Gallery Images" option the image will be used on the Event Page of the item itself. 

To add the image itself, choose whether you want to upload a new image from your computer or from the File store. If you want to upload some from your computer click “From Your Computer” and then you will be greeted by a box that shows your computer. From here find your files and click "Open" to upload them. If you want to upload multiple images at once then the new upgraded system allows you to do this. Simply click on the first item you want to upload, then hold down the “CTRL” key on your keyboard and then select all the other images you want to upload and then click Open.

If you want to pick files from the File Store then click “From Files” and then a box with a view of the File Store will appear. From here click on each item you want to add to your gallery and click “attach files”. You can also add multiple images at once in the File Store, simply click the first item you want to add then hold down the “CTRL” key on your keyboard and then select all the other files you want to upload and then click “attach files”.

We recommend putting an image if you have one because on your events section (if you require one) it will display these images in little thumbnails next to the news item which will make the display of your news page more interesting.

Copying an Event

If you want to Duplicate or Copy and existing event then you can click the "Copy Event" button. To access this click on "Events" on the left hand side and then you should see the list of events on your system in a view like below.

Click on the button on the left hand side of the 3 options at the far right of the screen (like below) and this will create an exact duplicate of that specific event.

Active/Inactive Events

In subsequent updates to the One Suffolk websites you can now add events but not have them as "active". This might be useful if you want to add an event for the future but not yet "publish" it.

To use this feature, click into the event choice and then either untick or tick the "active" button at the bottom of the page. Click "Save" when you have done.


 

Tickets

A neat new feature in the event system is you can even setup tickets and use an existing online ticketing facility. If you want to do this copy and past the link of the page. e.g https://ticketmaster.com/yourevent and make sure for every ticket type you have you need to create a ticket option. Make sure you give a Description for each ticket e.g Adult Ticket and give a price for each ticket (do not include £ symbol this will be added automatically)

Once you have completed your work with these additional items then just click “Create” when you are done on this page.


Recurring Events

Another new feature to the One Suffolk Event system is Recurring Events. No longer, do you need to add separate entries for each an event that re-occurs on a regular basis i.e. daily, weekly, monthly etc.

To use this feature, in Events, click on "Recurring Events" along the top menu bar and then from here to add one click "Add Recurring Event" and you will greeted by a screen like the one below.

Once you have the box up you simply need to give your event item a title, fill in your content in the description box and then at the bottom of this screen you will see some further options. (see below)

On this part of the screen, set when your event Recurs (either Daily, Weekly, Monthly or Yearly by using the Event Reccur's dropdown and then give your recurring event a start date time and end date time of the first time your Event occurs by using the appropriate boxes. Below that you will also need to set when that occurence ends by inputting a date into the "When would like the reccuring event to end" box. 

On this screen you will also need to enter in a location of the event. Input your postcode and then you can use the "Find Address" option to find the address of the location of the event. 

Calendar Colour is the colour that is used to show on the large event calendar option that you have available to you.

Once you have done all these click "Create"


 

Categories

You can do more advanced things like adding categories to your events items. Once you have the add event article box up you should notice a “Categories” tab along the top. Click on this and then you can do a search of the Categories section in the “Find Categories by Title” box to find the one that fits the events item best. If it doesn’t find one with the category you want then it doesn’t exist in the system. If it does find the category you are looking for simply click “link existing” and then your category will be linked.

If you want to add a new category, click the “Add Category” button and give your category a title and click “Create”. Once you have done this you should be able to search for this in the “Find Categories by Title” box at the top right of the screen.

Make sure you click “Save” when you are done.

 


Calendar Widget

As default on this version of the One Suffolk Silverstripe software the calendar will be displayed in List View and Full Page Calendar view in your menu. If you want to add a small widget to your navigation bar (which can be set to be either on the left or right hand side in this upgraded version) then click on “Widgets” on the left hand side. From here click on “Events Widget  Area” and then click “Add Widget”.

Once you have done this you will see a box like the one on below.

Give your widget a title by typing in the “Widget Heading” section, make sure you click the “Active Widget” tick box and then click the “Choose Field Type” dropdown and select “Calendar Widget”. Click “Create” when you are done.

This means that wherever you use this Event Widget Area now (as widgets are selectable on any page) you will see a small version of the Calendar in your left or right hand bar.

Large Calendar View

Within this version of the Silverstripe One Suffolk software you are also able to create a "Large" calendar - rather than just rely on the small widget version shown above.

To use this, Click "Pages" on the left hand side and then click "Add Page". From here you will be greeted by a view like the one below.

In the top section choose where you want to create the page i.e. as a Top Level Page or a sub page underneath another page. For example you could have this in your top menu bar on underneath the top menu. Following that make sure you select "Events Calendar" and then click "Create".

Following this you will be shown to a screen like the one below.

Simply give your Event Calendar a proper name in the "Page Name box" and click the "Published" option. This will then save it onto your website.

Deleting Events

To delete an event item to your website simply click on “Events” on the left hand side menu and you will be greeted by a list of all your current event items – if you have any.

Click the red cross next to the item and when it says “are you sure you want to delete?” click "yes" and your event will be deleted.
