Displaying Agendas & Minutes Using Widgets


Logging In

To start managing your website the first step is to login to your website. The website address to edit your website is always your main website and “/admin” at the end i.e. http://mycommunitywebsite.onesuffolk.net/admin

Simply go to this address and then insert your username and password and click “login


Introduction

One of the key tasks of a website for a Parish Council is the display of Agenda's, Minutes & other financial documents that it needs to display as part of the Transparency Code. This guide will take you through one way of doing this - and through the whole process. The other guides on the site also details this information but this guide is designed as the 1 overall guide which Parish Councils can walk through the process if and when they need it. There are alternative ways of displaying your Agendas and Minutes, and broadly speaking there is no right or wrong way but this guide will specifically show you the process of displaying files via Widgets. Please follow the guide through in the order it is described.


1. Creating Your Folder Structure

The first step in the process is to create your folder structure in "Files" and to upload any files into these folders (if you don't already have these folders set up)

Firstly, click on "Files" along the left hand side and then you will be greeted with a screen like the one below.

From here we recommending going into the "Uploads" folder by clicking on it.

Once you are in the "Uploads" folder you can then start to create your folders (if you don't already have them setup)

To create a new folder click "Add Folder" at the top and then you will be greeted by a box that asks you to give your folder a name. Type in the name of the folder i.e. "Agendas" and then click "Add Folder".

Do the same again if you need to subsequent folders such as Minutes.


 

2. Uploading Files to the folder

 To then upload files into these folders you need to click on "Files" and then navigate to the folder you want to upload it and click on it with a single click so you go into the folder.

From here, To upload new files, simply click the “upload” button  (see screenshot below of what the following screen looks like)

Click "Choose Files to Upload"

Once you click this button then this will take you to a screen which shows your computer file structure and from here you can choose to upload 1 or more files. To upload the file of your choice then double click on the file and following this you will see a green progress bar that takes you through this process.

Within the files system you can also re-order the file listing so they appear in the correct order in any widgets or pages you use.

To do this, simply click on "Files" along the left hand side, click on the folder you want to re-order the files in it. Tick the "Allow Drag and Drop Re-ordering" tick box ( and then the list of files will come up for you to re-order. You can then simply drag the order of files into the order you want them.

3a. Creating The Widgets (to a page that already has some information already displaying down the left or right hand side)

Now that you are done creating your folder and files structure you can then start to add your widgets to your page that will display the files. If it is an existing page that already has things down the left or right hand side then please follow instruction 3a. If you want to display your set of files on a brand new page then follow 3b and 3c.

Our definition of a widget is that it is a formatted box on your website (on the left or right hand side) that displays some form of information. Widgets can display maps, facebook feeds or in this case a set of documents like Agendas or Minutes.

To add your widget click on "Elements" down the left hand side. From here click on "Widget Areas" along the top. You will be greeted with a screen like the one below.

From here you will need to select the widget area that is loaded onto the page. If you are unsure (i.e. it's not obvious by the name in the list) then click on one of the Widget Areas and then click on the "Show Pages Using This Widget Area" link and this will tell you if the page that you are wanting the information to be shown on has those widgets displaying on them - it will highlight them in a grey bar and have a bullet point next to them. The other way of checking this is by clicking on "Pages" and then clicking on the Page in question, clicking on "More Settings" and then make a note of what it says next to "Widget Area". This will be the Widget Area you will need to click on in the list above.

Once you have found your widget area, you can add your new widget.

To do this click on the green "Add Widget" button. You will be greeted by the screen below.

From here type in the Title of the box that you want to appear i.e. "Agendas 2019" in the "Widget Heading" box

We recommend ticking the 2 boxes below that...."Show Widget Heading" and "Active Widget"

Once you have done that click on the "Choose Field Type" dropbown and select the "Asset Listing Widget"

Click "Create"

After you click Create you will need to do 2 final things.

Where it says "Media to Show" click on "All Assets in a folder" and then underneath that, where it says "Folder" click on the folder which holds the files you want to display on the website i.e. "Agendas"

Click "Save"

This completes the process of adding your new widget/folder to your existing page - you don't need to do anything else. 


3b. Creating The Widgets (to a page from scratch)

If after section 2 (creating your files and folders) you want to put a new widget/set of files onto a brand new page then the process is slightly different than the one above in section 3a.

Firstly, To add your widget click on "Elements" down the left hand side. From here click on "Widget Areas" along the top. You will be greeted with a screen like the one below.

Click "Add Widget Area"

Give your Widget Area a title by typing the label into the "Widget Area" box. 

Click "Create" at the bottom

Once you have added your widget area, you can add your new widget.

To do this click on the green "Add Widget" button. You will be greeted by the screen below.

From here type in the Title of the box that you want to appear i.e. "Agendas 2019" in the "Widget Heading" box

We recommend ticking the 2 boxes below that...."Show Widget Heading" and "Active Widget"

3c. Setting Your Widget Area To Your Page 

After you have created your widget area and added your widget the final part of the process is to set your widget area to be displayed on the page.

To do this, click on "Pages" down the left hand side.

Click on the page that you want to show the files on.

Click "Page Settings"

Where it says "Choose Widget Area", click on the Dropdown box and select the widget area you created in section 3b.

Finally, on the "Page Layout" dropdown ensure you use either "Sidebar Left" or "Sidebar Right". Click "Published" when done.

PLEASE NOTE: IF YOU DON'T SELECT SIDEBAR LEFT OR SIDEBAR RIGHT THEN NO WIDGETS WILL SHOW.

This completes the process and your widgets should now show.
